Cancellation & Flexibility

Travel is something to look forward to – and we understand that sometimes, plans evolve.

 

At Exoria, we approach cancellations with the same care and consideration as we do every journey we design:
with fairness, transparency, and a human touch.

​This policy works alongside our Terms & Conditions, which set out the wider legal framework for your booking.

Your Flexibility

Should your plans change, you may cancel your journey at any time by contacting us via email. This is governed by Section 5 of our Terms & Conditions.

 

To balance flexibility with the extensive preparation behind each experience, the following cancellation terms apply:

  • More than 60 days before departure: 30% of the total journey price

  • 59 – 30 days before departure: 50% of the total journey price

  • 29 – 14 days before departure: 75% of the total journey price

  • 13 – 7 days before departure: 90% of the total journey price

  • Less than 7 days before departure or no-show: 100% of the total journey price

 

The date of receipt of your cancellation notice shall be decisive. You retain the right to demonstrate that no, or significantly lower, costs have been incurred.

Why These Terms Exist

Each Exoria Travel journey is crafted with intention and secured well in advance.

 

From handpicked accommodations and experienced local guides to carefully curated activities – many elements are confirmed long before your arrival and often involve partners and communities who depend on this commitment.

 

These terms allow us to maintain the quality and integrity of every experience we offer.

A Thoughtful Alternative

Plans change – and when they do, cancellation isn’t always the only option.

 

You are welcome to transfer your booking to another traveler up to 7 days prior to departure, provided all travel requirements are met. Transfers are subject to the conditions set out in Section 6 of our Terms & Conditions.

 

We will support this process as smoothly as possible.

Special Arrangements

Certain elements of your journey – such as domestic flights, special permits, or liveaboard experiences – may be non-refundable once confirmed.

 

Whenever applicable, this will always be communicated clearly in advance.

Late Payment

As set out in Section 4 of our Terms & Conditions, any significant delay in the payment of your balance may be treated as a cancellation by you, and the cancellation terms above will apply accordingly.

If We Need to Make Changes

We design every journey with care – but travel, by its nature, invites the unpredictable. If circumstances beyond our control require us to adjust your itinerary, or if a departure can no longer take place, we want you to feel supported, not stranded.

 

Exoria Travel reserves the right to adjust individual travel services when extraordinary or unavoidable circumstances arise, provided such changes do not substantially alter the overall character of your journey. Such circumstances include, but are not limited to:

  • extreme weather conditions, such as typhoons, flooding, landslides, storms, high waves, wildfires, or drought

  • natural disasters

  • political unrest, security risks, or government-imposed restrictions

  • epidemics, pandemics, or public health emergencies

  • strikes, transport disruptions, or delays

  • last-minute changes to flight, ferry, or ground transport schedules or connections

  • closures of national parks, attractions, roads, ports, or trekking routes

  • safety decisions made by local authorities, boat captains, guides, or our partner companies

  • unforeseen technical issues involving vehicles, boats, or accommodations

  • force majeure events

  • sudden restrictions imposed by local communities or environmental protection authorities

  • weather or safety conditions that make activities such as boat trips, snorkelling, kayaking, or trekking unsafe

  • any other circumstances beyond the reasonable control of Exoria Travel

 

In every case, your safety comes first. We will make every reasonable effort to arrange comparable alternatives so your experience remains as close to what was promised as possible.

 

Our liability in such circumstances is governed by Section 7–10 and 17 of our Terms & Conditions.

If a journey cannot take place at all, you will always have the choice between:

  • a full refund of all monies paid; or

  • transferring your booking to a future departure.

 

Your peace of mind remains our priority at all times.

Travel Protection

For complete reassurance, we strongly recommend comprehensive travel insurance, as also outlined in Section 20 of our Terms & Conditions. Recommended coverage includes:

  • travel cancellation insurance

  • international health insurance, including emergency medical evacuation and repatriation

  • trip interruption insurance

 

This allows you to travel with confidence, knowing you are fully protected.
